Information we collect
We collect contact and company details, collection and delivery addresses, information about goods and access requirements, quotation correspondence, account information, payment status, job scheduling and proof-of-delivery records. Please do not submit unnecessary sensitive personal information through our forms.
Why we use it
We use information to answer enquiries, prepare quotations, take steps before entering a contract, provide and evidence delivery services, take payment, manage approved accounts, prevent fraud, resolve complaints and meet legal, tax and accounting duties. Our lawful bases are contract, steps requested before a contract, legal obligation and our legitimate interests in operating and protecting the business and responding to business enquiries.
Who receives it
Access is limited to authorised staff and service providers needed to operate the business, such as website hosting, database, email, payment, CRM and professional advisers. Relevant delivery information may be shared with an assigned driver or subcontracted carrier. Card details are handled by the payment provider and are not stored by us. We do not sell personal information.
International transfers
Some technology providers may process information outside the United Kingdom. Where this happens, we require an appropriate UK data-transfer safeguard or rely on another lawful transfer mechanism provided by the supplier.
How long we keep it
Unsuccessful enquiry records are normally reviewed for deletion after 24 months. Contract, job, payment and accounting records are normally retained for six years after the relevant financial year or longer where a legal requirement, dispute or insurance claim applies. Records are deleted or anonymised when no longer required.
Security
We use access controls, authenticated staff accounts and appropriate technical and organisational safeguards. No online system is completely risk-free, so please contact us promptly if you believe information has been sent to the wrong person or accessed without permission.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction or transfer of your information, and you may object to processing based on legitimate interests. Email info@kalyanglobal.com to exercise a right. You may also complain to the Information Commissioner's Office at ico.org.uk.
